Dispensing Packaging Materials: The Case for Manual Dispensers

Written by David Goodrich | May 8, 2025 5:15:00 PM

Dispensing is the process of delivering or supplying packing materials, like product wrap and void fill from a dispenser. It makes the materials easier and faster to access during the packaging process.

In simpler terms, it’s how you get the materials out of the box (manual) or machine (automated) and into your hands, so you can pack products efficiently.

Dispensing systems can be manual (pull and tear) or automated (machine-fed, hands-free, and pre-cut to length).

We go into more detail about the types of dispensers below, and make the case for manual dispensers when flexibility, simplicity, and mobility is a priority for businesses.

Pros and Cons of Manual vs. Automated Dispensing

Manual Dispensing

Think of a manual dispenser like a roll of aluminum foil: you open the box, pull, and tear. Manual dispensers work the same way. Depending on the type of packaging material you’re using, it can be as simple as opening the box and dispensing what you need, no power required.

Because manual dispensers don't rely on electricity, they can be used anywhere, anytime—from a busy packing station to a retail checkout counter. They’re also incredibly easy to use. With no complicated setup or training required, manual dispensers are a smart investment for businesses that value simplicity and speed.

And since there’s no machinery involved, there’s virtually no downtime for maintenance or repairs, keeping your workflow moving without interruption. Some companies prefer this type of dispensing for its reliability and portability.

One thing to keep in mind is that manual dispensing doesn’t provide the same level of control over material usage as automated systems. Because wraps and void fill are pulled and torn by hand, it’s easier to use more packaging than necessary. Over time, this can lead to higher material costs and less efficient resource use compared to pre-set automated dispensing systems.

Automated Dispensing

Automated dispensers are built for speed and efficiency. These systems can be programmed to dispense packaging material at consistent intervals and pre-set lengths, making them ideal for high-volume operations where thousands, or even hundreds of thousands, of items are packed each day. However, one common drawback—especially with wrapping—is that automated systems are typically set to the fastest speed required for the largest items, which can result in smaller items being wrapped too loosely. This reduces cushioning and increases the risk of damage during transit.

While automated dispensers offer significant advantages in terms of productivity and consistency, they do require some training to ensure proper use. Operators need to understand how to set up, program, and troubleshoot the system. Additionally, the upfront cost of an automated dispenser is typically higher than a manual one, reflecting the advanced features and time-saving benefits it provides.

However, there are some potential drawbacks to consider. Since automated systems involve machinery, they may require ongoing maintenance, occasional repairs, and part replacements, all of which can lead to unplanned downtime.

When Manual Dispensing Makes the Most Sense

Despite the rise of automation, many companies (including large retailers) still prefer manual dispensers when flexibility, simplicity, or mobility is essential. Especially with wrapping, manual dispensing with our HexcelWrap™ provides exceptional cushioning because it fully opens the wrap’s cells every time, regardless of packer speed or item size. This consistent cushioning reduces damage risk and improves customer satisfaction, something automated systems often struggle with since they tend to wrap smaller items more loosely when set to high speed for large items.

Here are other situations where manual dispensers make sense.

You’re a Small Startup

If your order volumes are still growing, an automated system might be more than you need. Manual dispensers are cost-effective, easy to use, and efficient enough to handle smaller packing needs without the complexity of automation.

You Sell at Events or On the Go

Whether you’re at craft fairs, pop-up shops, or markets, portability is key. Manual dispensers are lightweight, easy to transport, and don’t require power, making them perfect for mobile setups where you need reliable protection for fragile goods like ceramics or glassware.

You Hire Seasonal Workers

Even if your business is larger, you may have a rotating group of employees handling packing (seasonal staff during the holidays, part-timers, or employees from different departments). Training seasonal staff or part-timers on complex automated systems can slow down your operation. Manual dispensers offer a straightforward, intuitive approach, enabling quick onboarding and consistent packing quality even with rotating teams.

You Don’t Have Access to Power

Sometimes your packing area is wherever you can fit it, whether that’s a corner of your studio, warehouse, or storefront. If there’s no access to power nearby, an automated system isn’t an option. Manual dispensers give you the freedom to set up anywhere, without worrying about power sources or downtime due to equipment failure.
